Opening inventory · bring your workbook
Your records first. Review before inventory goes live.
Bring the workbook you already use. Keep the original unchanged. You choose which tabs come in, say which column holds what, and see every row that comes in, is left out or is refused before anything is recorded.
The template is optional. Your own column names work as they are.
1. Choose the business and the cutoff
Sign in with an invited account and select the correct organization and workspace. Confirm your house party, storage locations and team permissions. Choose the date your opening inventory represents; pause spreadsheet changes while you reconcile that snapshot.
2. Upload your workbook
In Receive & Reconcile, open your Excel workbook (.xlsx) or a CSV, up to 5 MB. Each tab is listed by name. For each one, choose Cards I own (opening inventory), Cards consigned to me, or Skip this tab. Skipped tabs are never brought in or kept.
- Google Sheets: File → Download → Microsoft Excel (.xlsx).
- Excel: upload the .xlsx as it is. An older .xls needs File → Save As → Excel Workbook first.
- Limits: 2,000 rows and 64 columns per tab.
Keep certificate numbers as text in your sheet so leading zeros survive.
3. Say which column holds what
Only the card title is required. Sicari suggests the rest from your column names: cert number, grader, grade, purchase date, bought from, notes, asking price, status and cost. Purchase date, bought from and notes are kept with each card for reference. A graded card with no cert number yet comes in under your title marked Cert number needed, its grader and grade kept as your claim until the cert is recorded. PSA 12345678 in one cell is read as grader and cert. If your Grader column says something else, that row is held back for you to correct. Cost and asking price stay separate: a Price or Paid column is what you paid, never your asking price.
Cost comes from each row: one total-cost column, or the sum of the columns you tick (price paid, buyer's premium or fees, tax, shipping, grading). A row with no cost comes in as Cost unknown. For cards you own, say whether they were paid from business cash or owned before Sicari / paid personally. For consigned cards, choose the consignor and the splits.
If you map a status column, say for each status whether those cards are in stock (bring in) or already sold or traded (leave out). Left-out cards are counted and listed; they never hold up the others. Bringing in past sales is a later step.
4. Preview and bring in each tab
Each tab's preview shows the rows read, the cards coming in, the cards already sold and left out, and every refused row with its row number, column and reason. Fix refused rows in your workbook and upload it again, or choose to leave them out. Each tab comes in as one batch, named after the tab; you can rename it.
Cards whose catalog identity is not confirmed still come in, under your title, marked "Catalog match needed": you can sell them in person and list them, then match them in "Match these cards". Accept each batch's cards to put them in inventory, and resolve exact-certificate duplicates and missing evidence before accepting a copy.
Bringing a tab in records proposed cards. It does not record a purchase, a payment or a sale. If a response is interrupted, check status before trying again.
5. Reconcile and activate
Confirm physical custody and ownership evidence. Review original acquisition records and consignment terms, then establish the opening cost through the accounting process. Never record a new purchase or payment simply because a historical row is imported.
Before go-live, compare physical copy counts, duplicates, locations, owned cost, consigned obligations and existing listings against the source. Every unresolved row stays visible; only reconciled copies become available for sale.
Opening-balance automation and account setup are assisted steps today. Past sales, sealed product with quantities and partner splits, lot recovery and payouts come in later steps.
